Submitting Extracts to Wilderlab
We want to make the submission process as smooth and reliable as possible. Please follow the guidelines below to ensure your extracts are compatible with our processing pipeline and meet the volume requirements for our assay panels.
Plate Format & Sample Preparation:
Sample requirement: Up to 94 extracts allowed on a plate (including controls) to allow for 2x Wilderlab internal controls.
Submission format: Submit extracts in barcoded ThermoFisher Matrix tubes. We will also accept plates with strips lids upon prior approval.
Wilderlab will send empty racks of matrix tubes free of charge upon request. An 8-channel decapper can also be loaned out upon request. Please reach out for more information.
Volume requirement: Each well must contain at least 80 µL of extract to run the full panels.
Dilution: To reach volume requirement, extracts can be diluted using PCR-grade water or TE buffer (0.1 mM EDTA, e.g., the IDT formulation). Wilderlab will dilute
Controls: Wilderlab adds a positive and negative control for PCR but we highly encourage including your own extraction controls on the same plate to provide context and quality assurance for your run.
Required Documentation:
To accompany your extracts, please ensure the following documentation is completed:
Pre-extracted DNA template: Download the pre-extracted DNA template and fill in required metadata. Use our submission portal to submit the extracts before sending them to us. We will not be able to analyse the extracts until they have been submitted.
Buffer Safety Data Sheet: Include the current Safety Data Sheet (SDS) for the buffer used to store or dilute your extracts. This should match the buffer listed on the Manufacturer’s Declaration.
Place a clearly visible copy of the Manufacturer’s Declaration and SDS on the outside of the shipment and provide electronic copies to your courier where possible.
International Shipments:
Manufacturer’s Declaration: If sending extracts internationally to New Zealand, a Manufacturer’s Declaration template will be provided for each plate or job after submission through the portal. Complete the highlighted shipment-specific sections and place the declaration on your organisation’s letterhead. We also suggest providing an electronic version of this declaration to your international shipping service. If you are sending multiple jobs or racks of samples in a shipment please include the Manufacturer’s Declaration for each job. You can also use the MD template provided here.
The declaration must accurately identify the buffer used for your extracts. Our template references IDT TE Buffer, but this must be updated if your extracts are stored in a different buffer.
Packing Slip: Each package needs to have a packing slip outlining the contents of the package to make the customs clearance process smoother. If submitting multiple jobs include the total number of samples across all jobs as shown in the template here.
Commercial Invoice: Each package also much have a commercial invoice. This outlines the total amount of samples being sent and the commercial value so there are no duties and that the samples are for research purposes only. If submitting multiple jobs include the total number of samples across all jobs as shown in the template here.
Shipping Instructions:
Packaging: Place extracts in a chilly bin or insulated shipper with sufficient ice packs to keep them cool for the full duration of shipping. Please do not ship samples on dry ice, as this may increase customs clearance requirements and transit time.
Commodity code: If a commodity code is required for customs, please use: 3822.19.0080
International shipping documents: Ensure the Manufacturer’s Declaration, buffer SDS, packing slip, and commercial invoice are attached to the outside of the shipment and uploaded to the courier’s online shipping portal where available.
*We recommend using DHL for international shipments.
Once your shipment has been booked, please email the tracking number and copies of all shipping and customs documents to orders@wilderlab.co. This allows our logistics team to monitor the shipment and assist from our end if it is delayed or held by customs.
Please contact orders@wilderlab.co before shipping if you have any questions about completing the declaration or customs documentation.
