Shipping your samples to Wilderlab

This page explains how to send your samples to our laboratory. The process is different between sending us your used sampling kits and for DNA extracts, so please follow the instructions below that apply to you.

Shipping sampling kits

1 First, submit your sample metadata online

Submit your sample metadata through our sample submission portal before posting your kits to our laboratory. We cannot analyse samples that haven't had metadata submitted. For larger jobs, you can upload the sample metadata via the standard sample template.

After you submit the metadata, you'll receive a confirmation email with:

  • The delivery address for your kits

  • A Chain of Custody (CoC) form, which is optional to include with your kits

  • A Manufacturer's Declaration, if you are shipping internationally.

3 Pack your kits

Kits can be kept at room temperature for up to one month after the preservative has been injected. They do not need to be shipped on ice or in a cooler bin.

If you'd like to include the optional CoC form, place it inside the package.

4 International shipments

If you are sending kits across a border, you'll need to include additional documentation for customs.

Manufacturer's Declaration - A Manufacturer's Declaration (MD) is generated automatically and sent to you after you submit through the portal.

  • Print the MD and attach it to the outside of the package.

  • Upload an electronic copy when booking your shipment with your courier. This can help speed up customs processing.

**You don't need a commercial invoice for returned kits. If your courier asks for one, you can explain that there is no commercial transaction, and that the Manufacturer's Declaration clearly states Wilderlab NZ Ltd is the supplier and manufacturer of Wilderlab eDNA kits and that the kits are being returned to us.

How to describe your kits

  • Once preservative has been added, your samples are no longer classified as water. Describe them in Customs and export documentation only as "eDNA samples". Please avoid the terms "biological samples" or "water samples", as these can trigger extra unnecessary customs checks.

Sampling kits Commodity code

  • If your courier or customs authority asks for a commodity code, please use the following

3 Pack your extracts

Place extracts in a chilly bin or insulated shipper with enough ice packs to keep them cool for the full journey.

Do not ship on dry ice—it adds customs requirements and can increase transit time.

4 International shipments

Extract shipments need the following documents. Attach a printed copy of each to the outside of the package, and upload electronic copies to your courier's online portal where possible. Missing documents can lead to delays or samples being held by customs:

Manufacturer's Declaration (MD)

  • Complete the highlighted shipment specific sections and print the Manufactuer’s Declaration on your organisation's letterhead.

  • The MD must correctly name the buffer your extracts are stored in. Our template refers to IDT TE Buffer, so please update it if you've used a different buffer.

  • If you are sending multiple jobs or racks in one shipment, include an MD for each job.

Buffer Safety Data Sheet (SDS)

  • Include the current SDS for the buffer used to store or dilute your extracts. This must match the buffer named on the MD.

Packing slip

  • List the contents of the package. If you are sending multiple jobs, include the total number of samples across all jobs.  Use our Packing slip template

Commercial invoice

  • State the number of samples, their commercial value, and that they are for research purposes only. If you are sending multiple jobs, include the total number of samples across all jobs.  Use our Commercial invoice template
